Rental & Trade Terms

Equipment can generally be picked up from 3:00 PM the day before, and it must be returned by 11:00 AM the following day without incurring rental charges. However, we reserve the right to modify this timeframe in the event that the equipment is returned later than expected or needs to be sent out earlier for another customer.

Rental and Trade Terms for Equipment Rental from Trust Rental Aps.

If you wish to rent equipment or crew from Trust Rental ApS, your company must be registered as a customer. Your credit options will be assessed by our accounting department. We reserve the right to require prepayment for rental, either partially or in full. Payments are generally made in DKK and must be settled by the agreed-upon date. If the payment deadline is not met, applicable laws regarding reminders and collection will come into effect. In cases where equipment is rented for an extended period and the payment deadline is not adhered to, we reserve the right to collect the equipment with two days’ notice. Trust Rental cannot be held liable for direct or indirect costs resulting from the collection of the equipment due to non-payment.

Booking of Equipment

Equipment must be booked via our website or by email. When a quote is sent, an option for the equipment is placed; your booking is only valid upon confirmation of the quote via email or digital signature. We reserve the right to send offers to other customers for the same equipment until we receive confirmation. If the equipment is booked elsewhere while we await your response, we will suggest alternatives or, ultimately, may not be able to deliver. We reserve the right for the first confirmed booking to take precedence, regardless of whether it was made via email or digital signature. Personnel can be booked over the phone or by email; we reserve the right to suggest alternative personnel if deemed appropriate and necessary.

Cancellation of Booking

In the event of cancellation of equipment and personnel later than 48 hours before the rental agreement commences, Trust Rental ApS reserves the right to invoice the full rental amount for the equipment and 8 hours per day for booked personnel.

Options

Options can be placed on equipment and personnel; an option is not valid until it is confirmed in writing by Trust Rental ApS. In cases where two options overlap for studio and/or personnel, the first option will be contacted to confirm whether the option should be changed to a booking. If the first option cannot confirm at this time, we reserve the right to freely choose between option 1 and option 2.

Options on equipment

Equipment is booked on a first-come, first-served basis. We cannot be held responsible for all or part of an equipment package in a quote that may have been booked elsewhere between the time of sending the quote and receiving the booking. We recommend that all quotes be confirmed digitally via our online signing.

Return Policy

Rented equipment must be returned in the same condition as when received. Rented equipment must always be returned according to the agreed time and place and must not be left unlocked. Any defects and/or deficiencies must be reported to Trust Rental ApS immediately upon discovery in writing via our email at info@trustrental.dk. We recommend documenting defects/deficiencies with photographs. If defects/deficiencies are reported only at the time of return, we reserve the right to reassess the extent of the issues. If defects/deficiencies are not reported immediately, we reserve the right to deny these claims if there is reasonable suspicion regarding the credibility of the defects/deficiencies. The rental agreement remains in effect as long as the equipment is out of the care of Trust Rental ApS, or in the case of damage or loss, until replacement equipment or repairs are completed and Trust Rental ApS has full access to functional equipment again. We reserve the right to charge up to the full rental amount for any days exceeding the rental agreement. In the case of damaged equipment, we reserve the right to charge rental fees until the damage is repaired.

Insurance and Deductible

Equipment, studios, vehicles, and personnel are insured through Trust Rental ApS. The renter must use Trust Rental ApS’s insurance. Equipment insurance is charged at 5% of the rental amount. The insurance covers theft and fire, provided the equipment is stored securely in a locked storage area or a locked building with an approved alarm system. All-risk insurance is not included and does not cover handling and transport damages, or technical failures on location resulting in damage to the equipment. Vehicle insurance is charged at 10% of the rental amount, with a deductible of DKK 10,000 per incident. Liability and comprehensive coverage are included for the vehicle. The deductible in the event of a claim will be invoiced immediately to the renter or at the latest with any invoice for equipment rental. Damage to lamp lenses and bulbs is not covered by Trust Rental ApS’s insurance and will be billed directly to the customer. It is the renter’s responsibility to ensure that the equipment is stored securely and locked at all times. The insurance does not cover personal belongings or production-owned equipment. The insurance does not cover items that disappear without an explainable reason. It is the renter’s responsibility to store the equipment securely during pickup, use, and return. During intermediate periods, it is the renter’s responsibility to ensure that the equipment is securely stored and locked. If the production company wishes to be self-insured when renting equipment from Trust Rental ApS, the production company must send a copy of the renter’s insurance policy in Danish prior to the rental start date, documenting that the production is insured concerning rented equipment. Trust Rental ApS will send invoices directly to the production company in the event of damage or loss; Trust Rental ApS cannot become a party to any disputes between the production company and their insurance provider.

Self-insurance

Insurance conditions must state that compensation for damaged or lost equipment will be assessed at replacement value, and the rental relationship for lost or damaged items will continue until repairs or replacements have been made. Equipment insurance must be sufficient to ensure the production is not underinsured. In the event that the production is underinsured, Trust Rental ApS will make a claim against the production company. Trust Rental ApS’s insurance does not cover items owned by anyone other than Trust Rental ApS.

Liability

Trust Rental ApS cannot be held liable for direct or indirect costs resulting from force majeure, defective rental equipment, or improper operation of equipment, and Trust Rental ApS disclaims all liability for loss of profit, loss of revenue, and similar indirect losses related to product liability damages. Trust Rental ApS cannot be held responsible for improper use of the rented equipment. Equipment rented from Trust Rental ApS must always be used in accordance with the manufacturer’s prescribed guidelines and in compliance with relevant laws and regulations, ensuring that safety standards are met. It is the production’s responsibility to stay updated on legal requirements and to provide safety reminders. It is the renter’s responsibility to ensure that all users, including external hires, are qualified to operate the rented equipment and possess the necessary experience or training. Trust Rental ApS reserves the right to inquire about the project for which the equipment is to be used and the identity of the individuals using the rented equipment, and if the individuals are not qualified to operate the equipment, Trust Rental ApS may refuse the rental. Note that ownership of the rented equipment may belong to a third party, who may request the return of the rented equipment in the event of termination of the agreement between the third party and Trust Rental ApS.
